The Queens District Attorney’s Office is seeking a highly organized and proactive Executive Assistant to support the Chief Information Officer (CIO). This role is crucial in ensuring the smooth operation of the CIO’s office by providing comprehensive administrative and operational support.
The Executive Assistant, IT will perform the following job functions, including, but not limited to:
- Administrative Support: Manage the CIO’s calendar, schedule meetings, and coordinate travel arrangements.
- Communication: Serve as the primary point of contact between the CIO and internal/external stakeholders. Handle correspondence, emails, and phone calls.
- Meeting Coordination: Prepare agendas, take minutes, and follow up on action items from meetings.
- Document Management: Organize and maintain files, documents, and records. Ensure confidentiality and security of sensitive information.
- Project Assistance: Assist with IT projects by tracking progress, coordinating tasks, and ensuring deadlines are met.
- Event Planning: Coordinate and plan events, conferences, and other activities involving the CIO.
- Reporting: Prepare reports, presentations, and other documents as required by the CIO.
- Office Management: Oversee office supplies and equipment, ensuring the office runs efficiently.
- Special Projects: Undertake special projects and assignments as directed by the CIO.
Preferred Education and Qualification Requirements:
1. A baccalaureate degree from an accredited college and two years of experience in an area related to the duties described above; or
2. High school graduation or equivalent and six years of experience in an area related to the duties as described above; or
3. Education and/or experience which is equivalent to "1" or "2" above.
For current New York City employees, a permanent civil service title is preferred but not required.
Preferred Skills:
- Experience: 5 years of experience as an executive assistant, preferably in an IT or legal environment is preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT terminology and systems.
- Organizational Skills: Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
- Communication Skills: Excellent verbal and written communication skills.
- Interpersonal Skills: Strong interpersonal skills with the ability to work well with diverse teams and stakeholders.
- Problem-Solving: Ability to anticipate needs, think critically, and offer solutions proactively.
- Discretion: High level of discretion and confidentiality in handling sensitive information.

Salary Range: $70,000-$88,000 (Commensurate with experience)
